Who We Are and Who Is Responsible
This Privacy Policy applies to ywd.agency and the public services we provide through it. YesWellDone Creative Inc. ("YesWellDone", "we", "us", or "our") is responsible for personal information under our control. We are a video production agency based in Langley, British Columbia, Canada.
Our Privacy Officer is responsible for privacy compliance and can be reached at privacy@ywd.agency.
We apply the principles in British Columbia's Personal Information Protection Act (PIPA), the federal Personal Information Protection and Electronic Documents Act (PIPEDA) where applicable, and other Canadian private-sector privacy laws that apply to a particular relationship or activity.
Personal Information We Collect
We collect only information reasonably needed for the stated purpose.
- Information you provide in a contact, diagnostic, brief, booking, or contractor form, including your name, business, email address, phone number, website, project requirements, budget or timing context, and messages.
- Information you provide in the website chat, including its content and any contact or project details you choose to submit.
- Technical information such as IP address, browser and device type, pages viewed, referral source, and server logs.
- With optional-cookie consent, campaign and usage information such as UTM parameters, advertising click identifiers, cookie identifiers, page interactions, and conversion events.
Please do not send us sensitive personal information, such as government identification, financial account details, health information, passwords, or personal information about other people, unless we specifically ask for it and explain why.
Why We Use It
We use personal information to:
- respond to an inquiry, diagnostic, brief, or booking request;
- assess project fit, prepare a proposal, and deliver our services;
- communicate about an active project, booking, or requested follow-up;
- operate, secure, troubleshoot, and improve the website and our processes;
- measure site and campaign performance when you opt in; and
- send marketing emails only with the consent or other basis required by law.
We do not sell personal information or use it for purposes that a reasonable person would consider inappropriate. If we need to use it for a materially new purpose, we will seek the consent required by law before doing so.
Consent and Marketing Messages
When you voluntarily submit a form, request a booking, or ask the chat to help with a project, you consent to our use of the details for that request. You can withdraw consent at any time, subject to legal and contractual limits; withdrawing consent may mean we cannot complete a requested service or follow-up.
Marketing is separate from service communications. We send commercial electronic messages only with the consent or other basis permitted by Canada's anti-spam legislation (CASL). Each marketing message identifies us and includes a working unsubscribe option. You may unsubscribe at any time; a request does not stop non-marketing messages necessary to respond to you or deliver an active service.
Cookies, Analytics, and Advertising Measurement
We use essential browser storage to remember your privacy choice and support site functionality. Analytics and advertising storage are off by default. You can accept both, decline both, or choose them separately in our cookie settings.
If enabled, analytics covers Google Analytics and Zoho PageSense when it is enabled for site testing or measurement. Advertising covers Google Ads measurement and advertising click identifiers. We use Google Consent Mode so Google tags receive your choice before they store optional cookies. Before you make a choice, Google may receive limited, cookieless measurement signals needed for aggregated conversion modelling; we do not use this to send form fields such as names, email addresses, telephone numbers, or messages.
You can decline optional cookies without losing access to the site and can change your choice at any time through the “Cookie settings” button shown on the site. Changing a preference stops future optional tracking from our site; you may need to clear existing third-party cookies in your browser separately.
Service Providers and International Processing
We use carefully selected service providers to host and secure the website, store business records and media, deliver email, manage calendar bookings, process site analytics, and operate the website chat. Depending on the service, providers may include Google, OpenAI, Amazon Web Services, and email, calendar, cloud, and CRM providers. They may process information in Canada, the United States, or another country where they or their subcontractors operate.
Information processed outside Canada may be subject to the laws of that jurisdiction, including lawful access by its authorities. We remain accountable for personal information under our control and require providers to protect it appropriately and use it only to provide their services to us, subject to law.
The chat may use an AI service to generate a response. It is intended to help with YesWellDone's services and project fit; it does not make decisions with legal or similarly significant effects about you. Do not enter sensitive personal information into the chat.
When We Disclose Information
We disclose personal information only to authorized team members and service providers who need it for the purposes above, with your consent, or where disclosure is permitted or required by law. We do not rent or sell your personal information. We may disclose information in connection with a legal requirement, to protect rights or safety, or as part of a business transaction where permitted by law.
Retention, Accuracy, and Safeguards
We retain information only as long as it is needed for the identified purpose, a legal or business recordkeeping need, or to resolve a dispute. We securely delete, anonymize, or de-identify it when it is no longer required. Where information is used to make a decision that directly affects you, we retain it for at least one year where required by applicable law.
We take reasonable steps to keep information accurate where it is used to make a decision about you or disclosed to another organization. We use safeguards appropriate to the sensitivity of the information, including access controls, authentication, encryption in transit where supported, and restricted access. No method of transmission or storage is completely secure.
If a privacy breach occurs, we investigate, mitigate the risk, keep the records required by law, and notify affected individuals and regulators when the applicable legal threshold is met.
Access, Correction, Withdrawal, and Complaints
You may request access to the personal information we hold about you, information about its use or disclosure, correction of an error or omission, withdrawal of consent, or deletion when retention is no longer necessary. Some requests are subject to legal exceptions or obligations. If Quebec privacy law applies to you, you may also ask us to stop disseminating, de-index, or re-index information where the law provides that right.
Send a written request to privacy@ywd.agency with enough detail to identify you and the request. We may verify your identity before acting. We respond with due diligence and generally within 30 days, or notify you if the law permits an extension. If we cannot grant a request, we will explain the reason and available recourse as required by law.
Please raise a concern with our Privacy Officer first. You may also contact the Office of the Information and Privacy Commissioner for British Columbia or, where applicable, the Office of the Privacy Commissioner of Canada.

We may update this policy when our practices or legal obligations change. The current version will be posted here with its effective date. For material changes, we will provide additional notice when required.
